5 Tips for Writing a Good Email

So here on the TemplateZone blog, we try to be helpful about how to create awesome-looking, effective email marketing materials without hitting you over the head with a giant hammer.

We know that you know that great emails aren’t all about formatting and layout — what’s actually in your email marketing materials counts, too.

So at the risk of being redundant, here’s what we think about email CONTENT — a few quick things we’ve picked up about sending professional emails, whether to a huge customer or prospect list or just participating in some basic biz-related communication.

Use a killer subject line
In my personal life, I’m notorious for leaving subject lines empty, but professionally? LOOK OUT — I am all about the subject line and you should be, too. Creativity, of course, is encouraged, but make sure the content of your email is clearly outlined by the subject line. Remember that everyone’s time is valuable: be upfront in your subject line so your recipients can prioritize properly.

Write comfortably, but test the waters first
Writing an email is a bit like dressing for an event: it’s always better to be overly-formal than too familiar. If you’ve never corresponded with someone before, take measures to write politely and professionally. Once they have replied (or if they were the first to contact you) feel free to match their tone — to a degree. It’s important not to let someone else’s email faux pas become yours.

HEY WATCH YOUR TONE
In a crisis situation, it may seem necessary to assign blame someplace via email. It feels good but, trust me — it’s not a bright idea to email angry. Because even if you have a candid relationship with the person you’re contacting, sending them a hotheaded email will only exacerbate the situation. No one’s receptive to that sort of behavior, and you’ll just look like a jerk.

Remember your audience…
…is everyone. Seriously, it’s freaky how fast stuff spreads over the internet. That’s great for staying in the loop, but it’s important to remain positive and professional to ensure that the content of your email isn’t juicy enough to make headlines. Stay posi and be proactive; identify problems critically and propose solutions.

Be sure to speel chekc
Because nobody’s going to take your email seriously, or spend time translating typos.
